Find Contact Details Fast
On the Contacts screen the lightning fast performance of the HowNow® database is applied to looking up your clients' contact details. HowNow® easily integrates with your existing contact database to provide your team this fast and easy-to-use view into it.
Simply type in a unique part of the client's name or contact details to instantly display that client. As for the other search screens, HowNow® searches with each keystroke, so the search speed is very fast. HowNow® simultaneously searches across a number of fields including:
- First name
- Last name
- Entity name
- Client/Contact Code
- Phone number
- Fax number
- Email address
Staff spend a lot of time in HowNow® working on documents for clients. It makes sense to enable them to very quickly look up client contact details when they need them, from within HowNow®, rather than forcing them to switch to (or open) another program whose search speed is likely to be slower than that of HowNow®.
HowNow® reads the contact data out of your existing database. It does not write back to or replace your existing database. (The last thing you want is yet another database to manage!)
However, if you wish to switch from the contact database you are currently using, the HowNow® Contacts screen provides you with a standalone database that you can enter contacts into directly.
Add Custom Fields for Faster Letter Creation
Many databases (such as Practice Management programs) are limited in the number of custom fields you can use. HowNow® allows you to create as many custom fields as you want.
Custom fields are extremely useful for quickly creating merge letters for clients that read as though they were individually written for the recipient. The HowNow® merge letter functionality is advanced, allowing you to create Smart Templates that can customise themselves on the fly, depending on the letter recipient's details and circumstance.
Using HowNow® Merge Letters in combination with your custom HowNow® fields, your team will be creating highly customised letters in seconds, rather than minutes.
Add Custom Fields for Better Client Service
Once you have created a number of custom fields and entered data into them, you can do complex (yet easy to create) lookups on your client database.
This means you can easily extract from your database, lists of clients for specific client service mailings or email broadcasts.
An example: An accounting firm could create a field to record whether the client needs to consider whether they have potentially incurred Fringe Benefits Tax (FBT) in the past year. It would be very quick and easy to do a lookup of these clients on the HowNow® Contacts screen and create a batch of merge letters and questionnaires in HowNow® to send out to these clients via mail or email.
Add Custom Fields for Better Marketing
As well as being more efficient in sending out letters and questionnaires to existing clients, custom fields allow you to be very targeted in your marketing activities.
An example: A field could be created to record the client's birthday month so that cards could be sent out or telephone calls made. A field could also be created to rank clients (and prospective clients) A, B, C or D in terms of their value (or potential value) to the firm. A field to record the client's entertainment preferences (e.g. Golf, Football, Tennis, Live Theatre, Musicals, etc.) would also be useful information. When an opportunity to entertain clients comes along—for example, you have secured a number of tickets to an upcoming musical—it would be very easy to do a lookup on 'A' ranked clients (and/or prospects) whose birthday is next month and whose interest is Musicals. You or the appropriate Client Manager could call them to invite them to the event.

Any information you want to record about your clients for relationship marketing or simply so your team can create letters more quickly, you can track in the HowNow® Contacts screen with custom fields.
HowNow® keeps track of these additional fields and adds them to the fields and data it reads from your existing database. For the user in the HowNow® Contacts screen, it's all very simple. They don't need to know that in the background HowNow® is reading your existing database and joining it up on the fly with its own database of custom fields you have created.
